Privacy Policy — ZiBa Portal

ZiBa Portal is built local-first: your data stays on your device. This policy explains exactly what that means — and the few places where any data moves at all.

The short version: the App collects nothing. No account, no analytics, no telemetry, no cloud. Everything you enter is stored in a local database on your own device. The only personal data we ever receive is your order information when you buy a license — processed by Polar.

2. Data the App Stores — Locally, on Your Device

Everything you put into ZiBa Portal — todos, projects, notes, habits, workouts, recipes, journal entries and moods, goals, finances, calendar events, backlogs, inventory, subscriptions, photos you attach — is stored in a local database on your own device. It is not uploaded to us or anyone else. Automatic backups made by the App are also stored locally (in a folder you choose).

We have no access to any of it. We cannot read it, restore it, or hand it to anyone — a subpoena for your journal would arrive at an empty office, because the data only exists on your hardware.

4. Device-to-Device Sync (Optional)

If you enable sync, your data travels directly between your own devices over your own local network (e.g., your home Wi-Fi), protected by a pairing code you control. It never passes through our servers — we don’t have any. If you point the App’s data folder at a cloud-drive folder (e.g., your own iCloud/Drive/Dropbox), that provider’s privacy policy applies to that storage; this is entirely your choice and configuration.

5. Purchases & License Keys

Purchases are processed by Polar Software, Inc. (“Polar”) as merchant of record. When you buy a license, Polar collects your payment details, billing country, and email address under the Polar Privacy Policy. We receive your order details (name, email, license key) and use them solely to deliver your license and provide support. Each license allows up to 3 device activations. Activating a license contacts Polar once from your device. That request carries only your license key and a device label (your computer’s name), so the 3-device limit can be enforced — nothing from inside the App is involved. After that it runs fully offline; it re-checks the key at most every few days, and an outage or lost connection never locks you out. Keys we issue by hand are verified entirely on your device, with no server contact at all.

6. Optional Third-Party Features

Some features, when you use them, fetch data directly from your device to a third-party service. These requests can include the search term or ID needed to fulfil them (e.g., a game or movie title) and your IP address, as with any internet request. They include:

All of these are optional and inactive until you configure or use them. Each service’s own privacy policy applies to those requests.

6a. The Assistant and your choice of AI model

ZiBa Portal does not include an AI model and does not send anything to any AI service by default. The Assistant does nothing until you choose a model in Settings, and the whole section can be left switched off — every other part of the app works without it. Two kinds of choice are available, and they differ in one way that matters:

Either way the traffic goes straight from your device to the model you chose. It never passes through ZiBa Entertainment, we never see its content, and your API key is stored only in your local settings on your own device.

7. Our Website

zibaentertainment.com does not use tracking cookies or analytics. Our hosting provider keeps standard technical server logs (IP address, requested page, timestamp) for security and operations, retained briefly and not used for profiling.

8. Children

ZiBa Portal is not directed at children under 13 (or the equivalent minimum age in your country), and — since the App collects no data — using it does not transmit a child’s personal information to us.

9. Your Rights (GDPR)

For your App data, the rights of access, rectification, erasure and portability are satisfied by design — the data is on your device, fully under your control, with built-in export. For order data, you can exercise your GDPR rights (access, correction, deletion, objection) by emailing info@zibaentertainment.com; we will respond within 30 days. You can also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

10. Changes to This Policy

If we ever add a feature that changes how data is handled, we will update this policy and its effective date, and announce material changes on the product page. The local-first principle — your data stays on your device — is the foundation of the product and not up for quiet revision.
